Too long? Read this
- A WhatsApp username is a public @handle that lets customers find and message your business without your phone number
- Rules: 3 to 30 characters, lowercase letters, numbers, periods and underscores, at least one letter, no leading, trailing or consecutive periods, not a reserved or impersonating name
- Claim it from your WhatsApp Business Account settings (or from VGraple CRM for API numbers); availability is first come, first served, so check the format and claim early
- The free username checker on this site validates the format instantly; the feature page explains how it works on the API
A WhatsApp Business username is a public @handle attached to your business number. Customers can find and message you by the handle instead of a phone number, and you can print it on packaging, put it in ads and bios, and say it on the phone without spelling ten digits. It is free, unique across WhatsApp, first come first served, and governed by a short list of format rules. This guide covers the rules, how to check and claim a handle, what customers see, how it works on the WhatsApp Business API and the Business app, and the mistakes to avoid. The username checker on this site validates any handle against the rules instantly.
The format rules
| Rule | Passes | Fails |
|---|---|---|
| Length 3 to 30 | aster.salon | ab |
| Characters | aster_salon.ahd | aster-salon (hyphen) |
| At least one letter | shop24 | 2024 |
| No leading or trailing period | aster.salon | .aster or aster. |
| No consecutive periods | aster.salon | aster..salon |
| Not impersonating | aster.salon | whatsapp.official |
Uppercase letters are folded to lowercase; spaces are not allowed. Use the checker before you plan print materials.
Choosing a handle that works
- Your brand name first: aster.salon, apex.academy, skyline.homes. If it is taken, add the city or category, not digits.
- Say it aloud. A handle you will say on the phone should survive being heard: periods and underscores are hard to hear; prefer one word if you can.
- Match your other handles. If Instagram is @asterbeautystudio, take the same on WhatsApp if available; customers try that first.
- Avoid trailing numbers unless they are part of the brand; "aster.salon.2" reads as a duplicate.
- Register variants across your numbers if you run several (branches, departments) with a consistent pattern: aster.satellite, aster.bopal.

How to claim it
On the WhatsApp Business API (VGraple CRM)
- Settings, Channels, WhatsApp, open the number's card.
- In WhatsApp username, enter the handle. Format problems are flagged before you submit.
- Choose Claim. VGraple CRM asks Meta to reserve the handle for the number; a taken handle returns an error and you try another.
- The handle shows on the card with its status; it can take a short while to become searchable in WhatsApp.
Step-by-step with screenshots: claim your WhatsApp username.
On the WhatsApp Business app
Settings, Business tools, Business profile (or Profile, depending on version), Username. Enter the handle; the app checks availability and claims it. Availability of the feature in the app depends on region and rollout.
What customers see and do
Customers can search the handle in WhatsApp's search or open a link that resolves to it, and start a chat. Your approved display name shows in the conversation. Whether they see your phone number depends on the privacy setting for usernames. Messages through a username arrive exactly like any other message: in VGraple CRM they land in the shared inbox, trigger the same flows and count toward the same opt-in records. wa.me links with the number continue to work in parallel.
Username, display name, green tick: three different things
| What it is | Who sets it | Cost | |
|---|---|---|---|
| Username | Public @handle for finding and messaging you | You, first come first served, within format rules | Free |
| Display name | The business name shown in chats instead of the number | You, reviewed by Meta for accuracy | Free |
| Green tick (Official Business Account) | Badge for notable brands | Meta, on application after business verification | Free, rarely granted |
Details: display name rules, the green tick.
Where to use it
- Packaging, invoices and receipts: "Message us on WhatsApp: @aster.salon"
- Instagram and Facebook bios, alongside the link
- Google Business Profile description and posts
- Print ads and hoardings, where a ten-digit number is unreadable at speed
- Voice: on IVR menus and in radio spots
Keep the wa.me link and the QR code too; they work everywhere the handle is not yet searchable.
Mistakes to avoid
- Printing a handle before claiming it. Claim first, print second.
- Choosing a handle that violates the format and then discovering it at claim time; use the checker.
- Using a person's name for a business number; the handle stays with the number when staff change.
- Changing the handle casually; every printed instance breaks.
- Assuming the username replaces opt-in. A customer who messages you through the handle has started a conversation (and opened a 24-hour window), but marketing still needs consent.
What changed in 2025 and 2026
Usernames moved from Meta announcement to rollout on the WhatsApp Business Platform during 2025, with the Business app following by region. Platforms that expose the feature through the API can claim and display handles; VGraple CRM added username management to channel settings in 2026.

Checklist before you claim
- Run the handle through the checker for format.
- Search Instagram and Google for the same handle to avoid confusion with another brand.
- Decide one pattern for all your numbers and branches.
- Claim on the number customers already use most.
- Update the wa.me link, QR code, bios and print in one pass, and keep the old number visible for a season.
Usernames and the rest of your WhatsApp identity
The handle sits alongside three other identity elements that customers notice: the display name (reviewed by Meta, shown in the chat header), the profile photo and description (set in the WhatsApp Business profile or through the API), and the Official Business Account badge for notable brands. Keep them consistent: the display name "Aster Beauty Studio", the handle @aster.salon, the photo the same logo customers see on Instagram. Inconsistency is what makes a customer hesitate before replying, and the first reply is what opens the free 24-hour window that every conversation depends on.
What happens to messages sent to the handle
Nothing special: they are ordinary inbound messages on the number. In VGraple CRM they arrive in the shared inbox with the contact created or matched by phone, trigger the same keyword rules and welcome flows, count as opt-in for service messages (the customer started the conversation) and open a 24-hour window. Marketing consent is still separate; a "reply YES for offers" step in the welcome flow records it.
What VGraple CRM does here
Username format validation before submission, claiming through Meta's API from the channel card, and status display are on every plan. The free username checker applies the same rules without an account, and the WhatsApp username feature page covers the technical detail.
