A tuition centre wins or loses a student in the evening the parent enquires: three centres are messaged, the one that replies in a minute with batch details and a demo slot gets the visit. After enrolment the centre's WhatsApp becomes the parent's window into the child's progress: fees, homework, results, schedule changes, all utility messages that cost Rs 0.115 or nothing and replace the calls the front desk cannot keep up with. The first-contact flow

Trigger: any first message, the QR on the board outside, a click-to-WhatsApp ad, the website widget. Steps: class or exam as buttons (Class 9 and 10, Class 11 and 12, JEE, NEET, other); subjects as a list; board; mode (classroom, online); preferred time. Send the matching batch details as a document and offer three demo slots; the lead is created in the Enquiries pipeline with the answers as fields and scored (current year, full subjects, classroom score up); the counsellor is assigned with the summary.

Parents, not students, make the decision, so the flow asks whose number this is and records the parent as the contact with the student as a field. Everything about fees and results goes to the parent; class logistics can go to the student's number if the parent agrees.

Fees, homework and results

Enrolment creates the student record, the fee schedule and the batch tag. Fee reminders are utility templates with a payment link three days before, on the day, and once after; payment updates the record and the receipt goes out as a utility document. Homework goes to the batch tag each evening as a short utility message with the worksheet attached; schedule changes and cancellations the same way. Test results go to the parent as a utility template with the score and the analysis document, with a button to book a parent-teacher meeting.

Follow-up and batch launches

Enquiries that do not book a demo get a sequence: day 1 batch details, day 3 a result story (marketing, consent), day 7 the fee plan and enrolment deadline (utility), day 12 "shall we close your enquiry?". Batch launches are marketing broadcasts to consenting enquirers of the relevant class, once per launch, in the evening when parents are free, with an opt-out line.

Meta policy

Messages about the customer's own booking, order, account or request are utility (Rs 0.115 in India, free inside an open window). Offers, launches and packages are marketing (Rs 0.8631): prior consent, an opt-out line and Meta's per-user frequency cap apply. Promotional wording inside a utility template gets it recategorised and billed at the marketing rate.

The weekly review

Read five numbers every Monday: enquiries by source, the conversion at the step that matters most for this business, utility messages sent and how many were free in-window, replies to the last marketing send, and blocks on it (anything above 0.2 percent needs a segment or wording change). The Analytics page shows them per agent and per campaign, and the audit log shows who sent what if a number surprises you.
