In short
- Demo classes booked within a minute of the enquiry; counsellors work from a scored pipeline
- Fees, homework, schedule alerts and results to parents as utility messages; batch launches with consent
- Parent and student contacts on one record with the right number for each message type
Tuition centres and test-prep institutes use WhatsApp to win the enquiry in the evening the parent asks, and then to keep the parent informed for the whole course: fees, homework, results, schedule changes. VGraple CRM books the demo in the first minute, runs the parent communication as utility messages from batch tags and fee schedules, and gives teachers the Android app; the outcome is more enrolments from the same enquiries and a front desk free of calls about fees and timings.
The problem in numbers
A parent messages three centres in an evening and enrols at the one that answered in a minute with batch details and a demo slot; the others call the next morning and find the decision made. After enrolment, the centre's phone rings about fee due dates, homework, cancelled classes and results, and the front desk cannot keep up. Both problems are solved by the same channel: a qualifier flow that books the demo before the parent has moved on, and utility messages that tell the parent what they would otherwise call to ask, at Rs 0.115 or free inside an open window. Consent is collected once, on the enrolment form.
Six things tuition and test prep teams automate on WhatsApp

1. Enquiry qualified and demo booked
Any first message, the QR outside, a click-to-WhatsApp ad or the website widget starts a flow: class or exam, subjects, board, mode, preferred time; batch details go out as a document; three demo slots are offered; the lead lands in the Enquiries pipeline with the answers as fields and a score; the counsellor is assigned with the summary.
tuition_demo_confirmed (utility)
Hi {{1}}, {{2}}'s demo class for {{3}} is confirmed on {{4}} at {{5}} with {{6}}. Reply R to reschedule.
Flow builder, leads with lead scoring, appointments.
2. Counsellor follow-up that pauses on reply
Enquiries that do not book a demo get a sequence: day 1 batch details, day 3 a result story (marketing, consent), day 7 the fee plan and deadline, day 12 a close question. It pauses when the parent replies and ends on enrolment.
tuition_followup (utility)
Hi {{1}}, following up on {{2}}'s enquiry for {{3}}. The fee plan and batch timings are attached. Reply CALL to speak to a counsellor.
Sequences with per-step category and consent checks.
3. Fee reminders with a payment link
Enrolment creates the fee schedule; reminders go three days before, on the day, and once after, each with a link; payment updates the record and sends the receipt; overdue beyond a week assigns accounts.

4. Homework and schedule alerts to the batch
Each evening, a short utility message to the batch tag with the worksheet attached; schedule changes and cancellations the same way; teachers send from the Android app.

What it costs
A 300-student centre with 200 enquiries a month: demo confirmations and reminders (400 utility, Rs 46); fee reminders and receipts (900 utility, Rs 104); homework to batches (about 1,200 utility, mostly outside windows, Rs 138); monthly results (300 utility, Rs 35); one batch launch to 1,500 consenting enquirers (Rs 1,295). Meta's total is about Rs 1,620 a month; VGraple CRM is Rs 1,499 on Starter for the desk and four teachers, or Free for a single-teacher centre.
A 30-day rollout plan
Week 1. Connect the number; submit the templates; build the enquiry flow; import parents with consent and batch tags; set up fee schedules.
Week 2. Demo bookings and reminders on; counsellors work from the pipeline; fee reminders live for the current month.
Week 3. Homework and schedule alerts by batch tag; results template; the follow-up sequence.
Week 4. First batch launch to consenting enquirers; review enquiry-to-demo, demo-to-enrolment, on-time fee collection and blocks; add the AI.
Getting the number ready
Most tuition and test prep businesses already run WhatsApp on the owner's phone, so the first decision is how to connect: coexistence keeps the WhatsApp Business app working on that phone while the team uses the inbox, with up to six months of history imported; an API-only connection suits a new number for the team. Either way, Embedded Signup takes a few minutes, the display name is reviewed by Meta, and business verification in Meta Business Manager lifts the marketing limit from 250 unique recipients a day to 1,000 and beyond. Submit the templates on day one; most are approved within the hour, and the template library has an industry collection ready to submit.
Consent, privacy and the rules that apply
A customer who messages first has consented to service replies and to utility messages about that transaction; marketing needs an explicit yes, recorded with source and date, and an opt-out on every marketing template. VGraple CRM records consent automatically from inbound messages, YES replies, forms, ads and imports, suppresses opted-out and blocked contacts before every send, honours STOP and Meta's app-level opt-out at once, and keeps marketing to United States numbers paused as Meta requires. Personal fields are encrypted at rest, access is by role and team, and the audit log records exports and deletions, which covers India's DPDP Act and GDPR for tuition and test prep data in practice. The opt-in rules guide has the detail.
Numbers to watch each week
First-response time on new conversations (minutes, not hours); the share of enquiries that reach the step that matters for tuition and test prep (a booking, a visit, an order, an enrolment); utility messages sent and how many were free inside open windows; replies to the last marketing send; and blocks on it, which should stay under 0.2 percent. The Analytics page shows them per agent and per campaign on Starter and above; the channel page shows the quality rating and tier, which the blocks feed. A yellow rating is the signal to tighten the segment before the next send, not after.
Common mistakes
- Calling enquiries the next morning; book the demo in the first minute.
- Fee reminders phrased as threats.
- Launches to every enquirer regardless of class or consent.
- Homework from teachers' personal numbers.
- Results to students when the parent consented; send to the parent.
