In short

  • Registration through a form or a flow; tickets and joining links as utility messages
  • Reminders at 24 hours, 1 hour and at start with the link as a button lift attendance well above email
  • Day-of updates, Q and A capture, recordings and follow-up; future event invitations with consent

Event organisers and webinar hosts use WhatsApp to register attendees, deliver tickets and links, remind them so they actually turn up, run day-of updates and Q and A, and follow up with recordings and the next invitation. VGraple CRM runs registration through forms and flows, reminders from the event date, and follow-up sequences, with invitations only to consenting contacts; the outcome is higher attendance and a list that grows with consent instead of shrinking with blocks.

The problem in numbers

Registration is not attendance: webinars commonly see fewer than half of registrants join, and the email reminder is the message most likely to be missed. Day-of changes (a room, a link, a delay) reach people too late by email. And the next event's invitation, sent to everyone who ever registered, is exactly the message that draws blocks. WhatsApp reminders with the join link as a button lift attendance, day-of updates reach the pocket, and invitations sent only to consenting contacts keep the number healthy, at Rs 0.115 per utility message and free inside the window a reply opens.

Contacts in VGraple CRM: 420 contacts with tags, channel filters, saved segments and opt-in status

1. Registration

A landing page form, a Flow form or a flow with questions collects name, phone, email and answers; the contact is created with the event tag and consent, and the ticket or joining link goes out as a utility message.

Meta policy

Messages about the customer's own booking, order, account or request are utility templates (Rs 0.115 in India, free inside an open 24-hour window). Offers and launches are marketing (Rs 0.8631): prior consent, an opt-out line and Meta's per-user frequency cap apply. Promotional wording inside a utility template gets it recategorised and billed at the marketing rate. Rates from Meta's April 2026 card; see WhatsApp API pricing for India.

Conferences with paid tickets add the payment link at registration and a QR ticket as a utility image; the same reminders and updates apply, with a team per venue or track if the event runs several at once.

What it costs

An organiser with 5,000 registrants per event: registration confirmation, three reminders and a recording message (25,000 utility messages, many inside windows opened by replies, about Rs 1,700 for the rest); day-of updates (Rs 575); one invitation to 10,000 consenting contacts for the next event (Rs 8,631). Meta's total per event is about Rs 11,000; VGraple CRM is Rs 3,499 on Growth for the organiser team with analytics by event.

A 30-day rollout plan

Week 1. Connect the number; submit the templates; build the registration form or flow with the consent step; import past attendees with consent and topic tags.

Week 2. Registration live; confirmation and reminder timers; payment links for paid tickets.

Week 3. Day-of update broadcast and Q and A routing; speaker and sponsor team.

Week 4. Recording and feedback after the event; first invitation to consenting contacts for the next one; review attendance rate, reply rate and blocks.

Getting the number ready

Most events and webinars businesses already run WhatsApp on the owner's phone, so the first decision is how to connect: coexistence keeps the WhatsApp Business app working on that phone while the team uses the inbox, with up to six months of history imported; an API-only connection suits a new number for the team. Either way, Embedded Signup takes a few minutes, the display name is reviewed by Meta, and business verification in Meta Business Manager lifts the marketing limit from 250 unique recipients a day to 1,000 and beyond. Submit the templates on day one; most are approved within the hour, and the template library has an industry collection ready to submit.

A customer who messages first has consented to service replies and to utility messages about that transaction; marketing needs an explicit yes, recorded with source and date, and an opt-out on every marketing template. VGraple CRM records consent automatically from inbound messages, YES replies, forms, ads and imports, suppresses opted-out and blocked contacts before every send, honours STOP and Meta's app-level opt-out at once, and keeps marketing to United States numbers paused as Meta requires. Personal fields are encrypted at rest, access is by role and team, and the audit log records exports and deletions, which covers India's DPDP Act and GDPR for events and webinars data in practice. The opt-in rules guide has the detail.

Numbers to watch each week

First-response time on new conversations (minutes, not hours); the share of enquiries that reach the step that matters for events and webinars (a booking, a visit, an order, an enrolment); utility messages sent and how many were free inside open windows; replies to the last marketing send; and blocks on it, which should stay under 0.2 percent. The Analytics page shows them per agent and per campaign on Starter and above; the channel page shows the quality rating and tier, which the blocks feed. A yellow rating is the signal to tighten the segment before the next send, not after.

Common mistakes

  • Invitations to every past registrant regardless of consent.
  • Reminders by email only.
  • No reminder at start time; it is the one that works.
  • Day-of changes on a website nobody rechecks.
  • Speakers coordinated on a group with no record.

Why VGraple CRM for events and webinars

Forms and WA Flows for registration, payment links, timers and sequences for reminders, broadcasts in utility category to event tags, the team inbox for Q and A, teams for speakers and sponsors, and broadcasts with consent and delivery protection for invitations are on every plan. The forms feature and the broadcasts feature cover the mechanics.

Frequently asked questions

Can people register on WhatsApp?
Yes, through a Flow form or a flow with questions; the registration creates the contact with the event tag and sends the ticket or link as a utility message.
Are reminders utility?
Yes; they concern the person's own registration. Invitations to a different event are marketing with consent.
How much do WhatsApp reminders lift attendance?
Organisers using reminders with the join link as a button report attendance well above email-only reminders; the last reminder at start time matters most.
Can we send the recording and slides?
Yes, as a utility document to registrants after the event.
Can we capture questions during the event?
Yes; replies to the event thread land in the inbox tagged by event and can be routed to the moderator.
What about tickets and payments?
Paid events use a payment link; the ticket with a QR follows as a utility message.
What does it cost?
An organiser with 5,000 registrants per event sends about Rs 1,700 of utility messages per event and one invitation to 10,000 consenting contacts for Rs 8,631; VGraple CRM from Rs 3,499.
Does it handle the free window?
Yes; registrants who reply open a free window, and reminders inside it are free.
