In short

  • Direct bookings on WhatsApp with a rate quote and a payment link, commission-free
  • Pre-arrival information, in-stay requests routed to housekeeping, room service and the front desk, checkout invoice and review request, all utility
  • Seasonal offers to consenting past guests once a month at most

Hotels and resorts use WhatsApp from the enquiry to the review: a direct booking with a rate quote and a payment link, pre-arrival details that stop the calls, in-stay requests from a QR by the bed routed to the right department, a checkout invoice and a review request, and months later an offer for the next season. VGraple CRM runs the booking flow, the department routing and the utility messages; the outcome is commission-free direct bookings and requests that never get lost at shift change.

The problem in numbers

Properties describe the same losses: enquiries from Instagram and the website answered hours later, by which time the guest booked through an OTA and paid its commission; in-stay requests taken by phone at reception and forgotten at the shift change; pre-arrival information sent by email and never read; reviews requested a week after checkout when the guest has moved on. WhatsApp answers the rate question in seconds, takes the advance in the same thread, puts every request in a queue with an owner, sends the pre-arrival message the guest actually reads, and asks for the review two hours after checkout, all as utility messages at Rs 0.115 or free inside an open window.

Six things hotel and resort teams automate on WhatsApp

The VGraple CRM flow builder canvas: a booking bot built from trigger, message, quick replies, condition, WhatsApp form, AI response and human handoff nodes

1. Rate quote and direct booking

Any first message, the QR on the website and Instagram bio, or an ad starts a flow: dates through a Flow date picker, guests, room type as a list with photos, the rate and inclusions from the rate sheet, and a Book now button with a payment link for the advance; payment creates the booking and sends the confirmation. Questions the flow cannot answer hand off to reservations with the details captured.

2. Pre-arrival information

Two days before arrival: check-in time, directions, ID requirements, pickup options and an early check-in offer if available.

3. Room ready and the in-room QR

On arrival day, a welcome with the room number when ready and the QR that opens a chat for requests during the stay.

4. In-stay requests routed to departments

Messages are free-form inside the window the guest opened; keywords and buttons route them: housekeeping, room service, late checkout to the front desk, complaints to the duty manager with a priority tag; stages track open requests across shifts.

5. Checkout invoice and review request

At checkout the invoice as a utility document; two hours later a review request with rating buttons, the review link on a positive reply, the manager on a negative one.

6. Seasonal offers to consenting guests

Meta policy

Messages about the customer's own booking, order, account or request are utility templates (Rs 0.115 in India, free inside an open 24-hour window). Offers and launches are marketing (Rs 0.8631): prior consent, an opt-out line and Meta's per-user frequency cap apply. Promotional wording inside a utility template gets it recategorised and billed at the marketing rate. Rates from Meta's April 2026 card; see WhatsApp API pricing for India.

What it costs

A 60-room property with 900 bookings a month: confirmation, pre-arrival, room ready and checkout messages (3,600 utility, about a third free in-window, Rs 276 for the rest); in-stay requests free; 300 review requests (Rs 35); one seasonal offer to 4,000 consenting past guests (Rs 3,452). Meta's total is about Rs 3,760 a month; VGraple CRM is Rs 3,499 on Growth for reservations, front desk, housekeeping and room service with the AI answering facility and rate questions.

A 30-day rollout plan

Week 1. Connect the number; submit the templates; build the enquiry and booking flow with the rate sheet; print QR codes for rooms; connect Instagram.

Week 2. Confirmations and pre-arrival on; payment links; teams for housekeeping, room service and front desk with routing rules.

Week 3. In-stay routing live from the room QR; stages for open requests; checkout invoice and review request.

Week 4. First seasonal offer to consenting past guests; review direct bookings, request resolution times, review replies and blocks.

Getting the number ready

Most hotel and resort businesses already run WhatsApp on the owner's phone, so the first decision is how to connect: coexistence keeps the WhatsApp Business app working on that phone while the team uses the inbox, with up to six months of history imported; an API-only connection suits a new number for the team. Either way, Embedded Signup takes a few minutes, the display name is reviewed by Meta, and business verification in Meta Business Manager lifts the marketing limit from 250 unique recipients a day to 1,000 and beyond. Submit the templates on day one; most are approved within the hour, and the template library has an industry collection ready to submit.

A customer who messages first has consented to service replies and to utility messages about that transaction; marketing needs an explicit yes, recorded with source and date, and an opt-out on every marketing template. VGraple CRM records consent automatically from inbound messages, YES replies, forms, ads and imports, suppresses opted-out and blocked contacts before every send, honours STOP and Meta's app-level opt-out at once, and keeps marketing to United States numbers paused as Meta requires. Personal fields are encrypted at rest, access is by role and team, and the audit log records exports and deletions, which covers India's DPDP Act and GDPR for hotel and resort data in practice. The opt-in rules guide has the detail.

Numbers to watch each week

First-response time on new conversations (minutes, not hours); the share of enquiries that reach the step that matters for hotel and resort (a booking, a visit, an order, an enrolment); utility messages sent and how many were free inside open windows; replies to the last marketing send; and blocks on it, which should stay under 0.2 percent. The Analytics page shows them per agent and per campaign on Starter and above; the channel page shows the quality rating and tier, which the blocks feed. A yellow rating is the signal to tighten the segment before the next send, not after.

Common mistakes

  • Offers to every past guest regardless of consent.
  • In-stay requests answered from one phone at reception; route them to teams.
  • Pre-arrival information by email only.
  • Rates quoted by a person hours later.
  • Reviews requested a week later; two hours after checkout is the window.

Frequently asked questions

Can guests book directly on WhatsApp?
Yes. A flow collects dates, guests and room type, quotes from your rate sheet and sends a payment link; the confirmation is a utility template.
How do in-stay requests work?
A QR in the room opens a chat; requests are routed by keyword or button to housekeeping, room service or the front desk and tracked with stages.
Are pre-arrival messages utility?
Yes; check-in time, directions, ID requirements and pickup all concern the guest's own booking.
Can I ask for reviews?
Yes, a utility request after checkout with rating buttons; positive replies get the review link, negative ones go to the manager.
Do I still need an OTA?
For discovery, probably. WhatsApp converts guests who found you elsewhere into direct bookings for the next stay.
What does it cost?
A 60-room property with 900 bookings a month pays about Rs 3,760 to Meta and Rs 3,499 to VGraple CRM on Growth.
Can every department use it?
Yes; teams for housekeeping, room service and front desk with routing rules, on the Android app.
Does Instagram matter?
Story replies asking for rates are the highest-intent enquiries a resort gets; they arrive in the same inbox.
