A salon's WhatsApp does five jobs: takes the booking, reminds the client, tells them how to care for the treatment, brings them back when it is time, and sells the occasional package. The first four are utility messages that cost Rs 0.115 or nothing, run from appointment stages, and empty the front desk's phone; only the package is marketing. This playbook gives the booking flow, five templates that pass review, rebooking timings by service, a cost example for a two-chair salon and a 30-day rollout.

The first-contact flow
Trigger: any first message, the QR at reception and on the mirror, Instagram DMs and story replies, the website widget. Steps: "Welcome to {{salon}}. What would you like?" with buttons (Book, Prices, Offers); Book opens service as a list (hair, colour, facial, spa, nails), stylist as buttons with "any", and slots for the next three days; the appointment is created with stage Scheduled and the confirmation goes out. Prices sends the menu as a document; Offers asks for marketing consent ("Reply YES for our monthly offers") before showing anything.

Instagram matters more for salons than for most businesses: story replies and reel comments are the top of the funnel. Connect Instagram to the same inbox and let the same flow answer "price?" with the menu and a Book button; the booking then lives in WhatsApp where reminders can reach it.
Reminders, aftercare and rebooking
Two reminders, both with a reschedule reply: the day before and two hours before. A reschedule reply lands with the desk and the new slot triggers a fresh confirmation; a no-show moves the stage and sends "we missed you, reply with a day to rebook". After the visit, a utility aftercare message specific to the treatment (colour: no wash for 48 hours; facial: no sun; keratin: which shampoo) followed by a review request with rating buttons; positive replies get the Google link, negative ones go to the owner.
Rebooking is where the money is. Set a timer per service from the completed appointment: haircut 5 weeks, colour 6 to 8, facial 4, waxing 4, keratin 12. The message is utility ("It has been 5 weeks since your last cut with {{stylist}}; here are slots this week") and replies book directly. Salons that add rebooking nudges typically lift repeat visits noticeably within a quarter, because the reminder arrives before the client thinks about a competitor.
Five templates that pass review

The weekly review
Five numbers on a Monday: no-show rate (target under 10 percent), reschedule replies handled within an hour, rebooking replies per nudge (a healthy salon sees 15 to 25 percent), review replies and their split, and blocks on the last offer (should be near zero). The Analytics page shows them per stylist; the Android app shows the day's schedule to each stylist without the desk relaying it.

Mistakes to avoid
- Sending the monthly offer to everyone who ever booked; consent first.
- Reminders without a reschedule reply; the reply is what prevents the no-show.
- One reminder at 8 am for a 9 am slot; the day-before reminder is the one that works.
- Ignoring Instagram; half the enquiries start there.
- Owner's phone disconnected instead of coexistence; use coexistence.
