In short
- Bookings, reminders, aftercare, rebooking and offers on one number, with the owner keeping the WhatsApp Business app through coexistence
- Reminders with a reschedule reply cut no-shows by a third; rebooking nudges timed to the service are the cheapest revenue a salon has
- Utility messages cost Rs 0.115 or nothing; only the monthly offer is marketing
Salons and spas use WhatsApp to take bookings without the phone ringing, remind clients so they turn up, tell them how to care for a treatment, bring them back when it is time, and sell the occasional package. VGraple CRM runs the first four as utility messages from appointment stages and keeps the owner's WhatsApp Business app working through coexistence; the outcome is a fuller diary, fewer no-shows and a front desk that talks to the clients in front of it.
The problem in numbers
Salon owners describe the same three losses. Missed calls during busy hours are lost bookings, because the client who could not get through books the salon that answered. No-shows run high in the industry wherever reminders are manual, and every empty chair is unrecoverable revenue. Rebooking depends on the client remembering, and most do not until they notice the roots or the regrowth, by which time a competitor's offer may have reached them first. WhatsApp is already the channel clients use to ask "do you have a slot today?"; the change is answering that question automatically, reminding reliably, and prompting the rebook before the client thinks about it. Meta's own pricing makes the operations side nearly free: a reminder about the client's own booking is a utility message at Rs 0.115, and free inside an open window.
Six things salon and spa teams automate on WhatsApp

1. Booking from the first message
A client messages 'Hi, do you have a slot Saturday?' or scans the QR on the mirror. The flow answers with three buttons (Book, Prices, Offers); Book opens service as a list, stylist as buttons with 'any', and slots for the next three days; the appointment is created and confirmed in one thread, at midnight or midday, without the desk.
salon_booking_confirmed (utility)
Hi {{1}}, your {{2}} with {{3}} is confirmed for {{4}} at {{5}}. Reply R to reschedule.
Built in the flow builder with the appointments module creating the booking and starting its reminder timers.
2. Reminders with a reschedule reply
The day before and two hours before, a utility reminder with a reply option. The reply lands with the desk; the new slot triggers a fresh confirmation; a no-show moves the stage and sends a rebook prompt. Salons typically see no-shows fall from 15 to 25 percent to under 10.
salon_reminder_tomorrow (utility)
Reminder: {{1}} with {{2}} tomorrow at {{3}}. Reply R to reschedule or C to confirm.
Appointment stage timers under appointments; the reply is handled in the team inbox.
3. Aftercare by treatment
After the visit, a utility message specific to the treatment: no wash for 48 hours after colour, no sun after a facial, which shampoo after keratin, followed by a review request with rating buttons; positive replies get the Google link, negative ones go to the owner.
salon_aftercare (utility)
Hi {{1}}, thanks for visiting today. Aftercare for your {{2}}: {{3}}. Reply if anything feels off.
Stage automation on completed appointments with automation rules; routing negative reviews by rule.
4. Rebooking nudges timed to the service
A timer from the last completed service sends a utility nudge at the service's interval with slots as buttons: haircut 5 weeks, colour 6 to 8, facial 4, waxing 4, keratin 12. Replies book directly. This is the highest-return message a salon sends.
salon_rebook (utility)
Hi {{1}}, it has been {{2}} weeks since your last {{3}}. Tap a slot to rebook: {{4}}.
Timers on the service in appointments, with sequences for a second nudge a week later.
5. Instagram enquiries answered the same way
Story replies and reel comments asking 'price?' get the menu and a Book button from the same flow; the booking then lives on WhatsApp where reminders can reach it.
salon_menu_reply (utility)
Hi {{1}}, our menu and prices are attached. Reply BOOK to pick a slot, or ask me anything.
Instagram and Messenger inbox and comments automation.
6. The monthly offer, to consenting clients only
Consent is collected with a YES step after a booking; one marketing message a month goes to consenting clients segmented by service, in the morning, with an opt-out line. Readers who do not reply get a different nudge two days later; buyers are excluded.
salon_monthly_offer (marketing)
Hi {{1}}, this month at {{2}}: {{3}}. Reply BOOK to grab it or STOP to opt out.
Broadcasts with consent handling, retargeting cohorts and delivery protection.

What it costs
A two-chair salon with 500 appointments a month sends confirmation, two reminders and an aftercare message for each: 2,000 utility messages, about half free inside open windows and half at Rs 0.115, about Rs 115. Add 300 rebooking nudges (Rs 35) and one monthly offer to 1,200 consenting clients (Rs 1,036). Meta's total is about Rs 1,190 a month. VGraple CRM is Free for a single desk seat and Rs 1,499 on Starter for a team; Meta bills its charges directly with no markup. One recovered no-show a day pays for the month.
A 30-day rollout plan
Week 1. Connect the number in coexistence mode; submit the salon templates from the library; build the booking flow; print QR codes for reception and mirrors; connect Instagram.
Week 2. Confirmations and reminders on; the desk handles reschedule replies from the inbox; aftercare templates per treatment.
Week 3. Rebooking timers per service; review requests; consent collection with the YES step.
Week 4. First monthly offer to consenting clients; review no-show rate, rebooking replies, offer replies and blocks; add the AI for service and price questions.
Getting the number ready
Most salon and spa businesses already run WhatsApp on the owner's phone, so the first decision is how to connect: coexistence keeps the WhatsApp Business app working on that phone while the team uses the inbox, with up to six months of history imported; an API-only connection suits a new number for the team. Either way, Embedded Signup takes a few minutes, the display name is reviewed by Meta, and business verification in Meta Business Manager lifts the marketing limit from 250 unique recipients a day to 1,000 and beyond. Submit the templates on day one; most are approved within the hour, and the template library has an industry collection ready to submit.
Consent, privacy and the rules that apply
A customer who messages first has consented to service replies and to utility messages about that transaction; marketing needs an explicit yes, recorded with source and date, and an opt-out on every marketing template. VGraple CRM records consent automatically from inbound messages, YES replies, forms, ads and imports, suppresses opted-out and blocked contacts before every send, honours STOP and Meta's app-level opt-out at once, and keeps marketing to United States numbers paused as Meta requires. Personal fields are encrypted at rest, access is by role and team, and the audit log records exports and deletions, which covers India's DPDP Act and GDPR for salon and spa data in practice. The opt-in rules guide has the detail.
Numbers to watch each week
First-response time on new conversations (minutes, not hours); the share of enquiries that reach the step that matters for salon and spa (a booking, a visit, an order, an enrolment); utility messages sent and how many were free inside open windows; replies to the last marketing send; and blocks on it, which should stay under 0.2 percent. The Analytics page shows them per agent and per campaign on Starter and above; the channel page shows the quality rating and tier, which the blocks feed. A yellow rating is the signal to tighten the segment before the next send, not after.
Common mistakes
- Sending the monthly offer to everyone who ever booked; consent first.
- Reminders without a reschedule reply; the reply is what prevents the no-show.
- One reminder an hour before; the day-before reminder does the work.
- Ignoring Instagram; half the enquiries start there.
- Owner's phone disconnected instead of coexistence; the owner reverts to the app and the team loses the thread.
