A fashion brand's WhatsApp is a storefront, a support desk and a launch channel at once. The ad brings the customer in with a free 72-hour window, the catalog sells inside it, the payment link closes, and the order and shipping updates that follow are utility messages the customer wants. Only the drop, the new collection sent to people who asked to hear about it, is marketing. The first-contact flow

Trigger: a click-to-WhatsApp ad tap, an Instagram DM, a QR on packaging, the storefront widget. Steps: "Hi {{name}}, welcome to {{brand}}. What are you looking for?" with buttons (New arrivals, Sizing help, Track my order); New arrivals sends a multi-product message from the catalog; Sizing help asks height and usual size and replies from the size chart; Track my order asks the order number and reads the status. A cart sent by the customer creates the order and triggers the payment link; payment confirms and starts the shipping updates.

The ad conversation is where the economics are decided: everything inside the 72-hour window is free, including the marketing template with the launch offer, so the flow should show the collection, answer sizing and close the order without leaving WhatsApp. The Conversions API sends the purchase back to Meta so the ad set learns to find buyers.

Orders, shipping and returns

Shopify or WooCommerce order events reach VGraple CRM through Zapier or webhooks; each stage change sends a utility template (packed, shipped with tracking as a URL button, out for delivery, delivered). Returns start with a flow: order number, reason as buttons, photos; the request is created with stage received and the customer gets a utility confirmation; pickup scheduled and refund issued are further stages with their own templates. Once a month is plenty; blocks on drops are the fastest way to a yellow number.

Meta policy

Messages about the customer's own booking, order, account or request are utility (Rs 0.115 in India, free inside an open window). Offers, launches and packages are marketing (Rs 0.8631): prior consent, an opt-out line and Meta's per-user frequency cap apply. Promotional wording inside a utility template gets it recategorised and billed at the marketing rate.

The weekly review

Read five numbers every Monday: enquiries by source, the conversion at the step that matters most for this business, utility messages sent and how many were free in-window, replies to the last marketing send, and blocks on it (anything above 0.2 percent needs a segment or wording change).
