A gym loses members in two moments: the hours after an enquiry when nobody calls back, and the week a membership quietly expires. WhatsApp fixes both. A trial flow books a slot before the person has finished comparing gyms, and renewal reminders with a payment link land before the lapse. In between, class reminders, schedules and check-ins keep members coming, all as utility messages. This playbook gives the flows, five templates, a cost example for a 400-member gym and a 30-day rollout.

The first-contact flow
Trigger: any first message, the QR at the door and on flyers, Instagram DMs and reel comments, a click-to-WhatsApp ad, the website widget. Steps: goal as buttons (weight loss, muscle, yoga, general fitness); preferred time (morning, evening, weekend); a day and slot; the trial appointment is created with a trainer and the confirmation goes out with what to bring. The lead is created in the Trials pipeline with the goal as a custom field and the source recorded.

Instagram is the gym's top channel for enquiries; connect it to the same inbox so a reel comment asking "fees?" gets a DM with the plans and a Book trial button, and the booking then lives on WhatsApp where reminders and payments work.
Memberships, renewals and classes
Joining creates the membership record with the expiry date and starts the welcome template with the schedule. Renewal reminders are utility templates with a payment link: seven days before, two days before, and on expiry; payment through the link extends the membership and records revenue. Class reminders go the morning of a booked class; schedule changes go to the affected batch by tag. A member who has not visited in two weeks gets a trainer check-in (utility, about their own membership).
Win-back
When a membership lapses, a sequence runs: day 1 a utility "your membership ended on {{date}}; reply to renew"; day 7 a marketing offer with an opt-out to members who consented to offers; day 21 a trainer message asking what would bring them back. The sequence pauses on any reply and ends on renewal.
Five templates that pass review

The weekly review
Trial enquiries by source (Instagram, QR, ads, walk-ins who scanned), trial-to-join rate per trainer, renewals recovered by the reminder sequence against expiries, class reminder cancellations (a spot freed is a spot resold), and win-back replies. The lead board shows trials by stage; the membership records show expiries for the coming month so the front desk can see the renewal pipeline before the reminders even fire.
What it costs
A 400-member gym with 120 trials a month: trial confirmations and reminders (240 utility, mostly in-window, about Rs 15); welcome, class reminders and check-ins (1,500 utility, Rs 100 after in-window); renewal reminders for 100 expiries (300 utility, Rs 35); one win-back or offer campaign to 800 consenting contacts (Rs 690). 30-day rollout
Week 1. Connect the number in coexistence mode; submit the five templates; build the trial flow; import members with expiry dates and consent; connect Instagram.
Week 2. Trial confirmations and reminders on; welcome template on joining; renewal timers live for the current month's expiries with payment links.
Week 3. Class reminders by batch tag; trainer check-ins; consent collection for offers.
Week 4. First win-back sequence for members lapsed in the last 90 days; review trial-to-join rate, renewals recovered, class attendance; add the AI for plan and timing questions.
Trainers should reply from the inbox, not personal numbers: the conversation stays with the gym when a trainer leaves, and the reminders keep working.
Mistakes to avoid
- Calling trial enquiries the next day; book the slot in the first minute.
- Renewal reminders without a payment link; the link is the renewal.
- Offers to members who consented only to membership messages.
- One reminder at expiry only; start seven days before.
- Owner's phone disconnected instead of coexistence.
