WhatsApp Groups: What the API Allows

WhatsApp's Groups API is restricted to Meta-approved Official Business Accounts, not generally available. What VGraple CRM builds once your account qualifies.

WhatsApp's Groups API is not generally available. Meta restricts it to numbers that already hold Official Business Account (OBA) status, the green tick, and reviews further eligibility, including monthly conversation volume, as part of that same OBA application, so most businesses will not see this feature unlock without going through Meta's own verification process first.

Before you start

  • This page describes what happens once your WhatsApp Business Account has already been granted OBA status by Meta. If you have not applied for OBA, start there: see getting the green tick.
  • VGraple CRM cannot request, expedite or override Meta's OBA decision. The eligibility check on the Groups screen is read-only information, not a gate you can configure your way past.
  • If you are eligible, the same org settings permission used elsewhere in Channels settings (Owner or Admin, or a custom role granted the broadcasts module) is what controls who can create and manage groups.

Steps

  1. Open Settings, then Channels, then WhatsApp, then Groups. VGraple CRM checks your account's eligibility immediately.

  1. Read the eligibility checklist, if groups are not yet available. Three checks are shown: WhatsApp Business API connected, Official Business Account status, and Meta's monthly conversation volume review (verified by Meta during the OBA process itself, not something VGraple CRM measures). A green check or red cross next to each shows where you stand.

  2. Apply for OBA status directly with Meta, if you have not. A Request OBA Status on Meta button links straight to Meta's Business Manager; a second link explains what an Official Business Account actually is. Both leave VGraple CRM, since the decision is Meta's alone.

  3. Return once Meta grants OBA status. Reopen the Groups screen; a qualifying account sees the group list and a New Group button instead of the eligibility checklist.

  4. Create a group. Give it a name and an optional description, then search your contacts and select up to 8 to invite. Creating the group calls Meta's Groups API directly through your connected number.

  5. Send invites. Selected contacts each receive a WhatsApp invite to join; the group only actually forms as members accept, the same way any WhatsApp group works.

  6. Manage the group afterward. From the group's detail page, view its member list, generate a shareable invite link, or promote a member to admin.

What you will see

If your account is not OBA-eligible, the Groups screen shows the checklist above and nothing else; no group list or creation button appears. Once eligible, a list of your groups appears, each showing its member count out of 8 and a status of Active or Full. Opening a group shows its members, an invite-link generator, and promote controls.

If you run multiple WhatsApp numbers, note that Groups API eligibility and OBA status are assessed per WhatsApp Business Account, not automatically shared across every number in your workspace.

Frequently asked questions

Can any WhatsApp Business number create groups through the API?
No. Meta restricts the WhatsApp Groups API to numbers on an Official Business Account (the green tick), and reviews additional eligibility, including monthly conversation volume, during that OBA application. Most businesses will not qualify without going through Meta's OBA process first.
What does VGraple CRM actually build if my account does qualify?
Creating a group with a name and description, inviting contacts by sending them a WhatsApp invite (up to 8 members per group), generating an invite link, viewing the member list, and promoting a member to admin, all from Settings, then Channels, then WhatsApp, then Groups.
How do I apply for Official Business Account status?
Through Meta's own Business Manager, not through VGraple CRM. The Groups screen links directly to Meta's OBA request page and to Meta's help article explaining what an Official Business Account is, since the approval decision is entirely Meta's.
Is this the same as a regular WhatsApp group I create in the personal app?
No. A group created through the Groups API is tied to your WhatsApp Business Account and managed through VGraple CRM's interface; it uses a different underlying mechanism from a group started in the ordinary WhatsApp consumer or Business app.
If I am not eligible today, will VGraple CRM notify me when I am?
There is no automatic notification for a status change today. Checking the eligibility screen periodically, or after applying for OBA status directly with Meta, is currently how you find out it unlocked.
Can I add contacts to a group without their consent?
No. Adding a member sends them a WhatsApp invite they choose to accept; VGraple CRM cannot silently enrol a contact into a group the way a broadcast can message an opted-in list.
