Connecting Instagram DMs takes one Facebook Login popup from Settings, then Channels: pick the Page linked to your Instagram professional account, turn on the Instagram DMs toggle, and every new direct message, story reply and story mention starts landing in your shared team inbox next to WhatsApp.

The steps on this page, in order.

Before you start

  • You need an Instagram professional account (Business or Creator, not personal) linked to a Facebook Page you manage or have admin access to.
  • Your VGraple CRM role needs the org settings permission (Owner or Admin, or a custom role granted settings:org) to connect a channel.
  • Have the Facebook login you use to manage that Page ready; Meta's OAuth popup asks you to confirm which Pages and Instagram accounts to share.
  • Instagram DMs count toward your plan's monthly conversation quota the same as WhatsApp and every other channel, so check your remaining headroom if you expect meaningful volume from day one.

Steps

  1. Open Settings, then Channels. Scroll past the WhatsApp Business card to the Meta connection section.

A conversation open in the VGraple CRM inbox with stage, priority, assign, summary, snooze and resolve controls in the header

  1. Click Connect Messenger, Instagram, or Lead Ads. This opens a Facebook Login popup, then Connect via Facebook, which is the single OAuth flow covering Messenger, Instagram and Lead Ads at once, since Meta issues one set of Page permissions for all three.

  2. Select the Facebook Page linked to your Instagram account. VGraple CRM lists every Page your Facebook login has admin access to. Choose the one connected to the Instagram professional account you want in your inbox.

  3. Click Connect on that page. A new Instagram channel card appears on the Channels page once Meta confirms the connection, showing the linked Instagram handle.

  4. Turn on the Instagram DMs toggle. Each connected page shows two independent toggles, Instagram DMs and IG Comments. Turning on Instagram DMs is what starts routing direct messages, story replies and story mentions into your inbox; leave IG Comments off for now unless you also want comment automation.

  5. Send yourself a test DM. From a phone with the Instagram app, message the connected account and confirm it appears in your Inbox within a few seconds, tagged Instagram.

What you will see

A new conversation tagged Instagram appears in the Inbox the moment someone DMs the account, replies to one of your stories, or mentions you in one. The contact's name and avatar populate from Meta's API as it resolves them, sometimes showing a generic placeholder for a few minutes on a brand-new contact before the real name loads. Story replies show the customer's text next to a link back to the story; story mentions show that they tagged you. The same assignment, tags, notes, stages and automation tools available on a WhatsApp conversation work identically here.

Troubleshooting

SymptomLikely causeFix
No Pages appear in the Facebook Login popupThe Facebook login used does not have admin access to the Page, or the Instagram account is not a professional accountLog in with the account that manages the Page, and confirm the Instagram account is Business or Creator, not personal, in Instagram's own settings
Instagram DMs toggle exists but no messages arriveThe toggle was never turned on after connecting, or Meta's webhook subscription for this page needs re-establishingConfirm the toggle is on; if it already is, disconnect and reconnect the page to refresh Meta's webhook subscription
Contact shows no name or photo, just "Instagram User"Meta's profile lookup has not resolved yet, often because the rate-limited shared app quota is temporarily exhaustedExpected for a short window; a background sweep retries automatically, from 15 minutes up to 7 days depending on the reason it failed
A reply sent from the Instagram app does not show in VGraple CRMRare; usually a delay in Meta's echo webhook rather than a lost messageWait a minute and refresh the conversation; check the connected page's token status on the Channels page if it persists
Connection shows "Reconnect required"The page access token expired or was revoked on Meta's sideClick Reconnect on the channel card and complete the Facebook Login popup again

Once Instagram DMs are flowing, connect Facebook Messenger from the same Page, or turn on comment automation so a public comment can move into a private DM automatically. See the inbox tour for how Instagram conversations sit alongside WhatsApp in the shared list.

Frequently asked questions

What kind of Instagram account do I need to connect DMs?
An Instagram professional account (Business or Creator) linked to a Facebook Page you manage. A personal Instagram account cannot be connected, since Meta's Graph API only exposes DMs, comments and story interactions for a professional account tied to a Page.
Do I need a Facebook Page even though I only care about Instagram?
Yes. Meta's connection model routes every Instagram professional account through its linked Facebook Page, so the initial connect step always starts from Facebook Login, even if you never touch the Page itself again.
Can I connect Instagram without also turning on Messenger or comments?
Yes. Instagram DMs and IG Comments are separate toggles on the same connected page, so you can enable Instagram DMs alone and leave Facebook Messenger or Instagram comment automation off until you want them.
Will Instagram conversations show a real name and profile photo?
Usually, once Meta's API can resolve it. VGraple CRM fetches name, avatar, handle, follower count and verified status per contact, subject to Meta's own rate limits, and retries automatically on a backoff if a lookup does not resolve on the first try.
Can I send a WhatsApp-style template or catalog message on Instagram?
No. Templates, catalog messages and outbound reactions are WhatsApp Business API concepts with no equivalent send type on Instagram's own messaging platform; free-form replies, media, and the inbox's automation tools work normally.
What happens if I reply to a DM from the Instagram app instead of VGraple CRM?
It still shows up. VGraple CRM detects a reply sent from the native Instagram app, Meta Business Suite or another connected tool as an echo and adds it to the same thread with a label showing where it came from.
