Sales and front-desk work happens away from the desk, so the Android app carries the CRM: contacts and leads under the CRM tab, appointments under More. This guide shows what you can do with each on the phone and what opens in the web view.
Before you start
- Leads and appointments respect your role: Agents and Supervisors view and edit; deleting and stage design stay with Admins and Owners.
- Pipelines, stages, services and staff are set up on the web first (Settings, Lead pipelines; Settings, Services).
Contacts
- Open the CRM tab and choose Contacts. Search by name or number, filter by tag.
- Open a contact to see fields, tags, consent status, notes, linked leads and appointments, and the conversation history across channels.
- Edit fields, add tags, write a note, block, or tap the channel icon to open the conversation.

Leads
- In the CRM tab choose Leads. Filter by pipeline, stage, owner and source; sort by score or recency.
- Open a lead: value, source and campaign, owner, score, custom fields from qualifier flows, the linked contact and conversation.
- Change the stage from the lead; stage automation (templates, sequences, assignment) runs as on the web.
- Add a note, reassign, call, or open the WhatsApp conversation to reply.
- Create a lead from a conversation's contact panel or from the Leads list.
Appointments
- Open More, then Appointments for today's schedule and upcoming bookings.
- Tap an appointment for the contact, service, staff, time, stage and notes; open the conversation to message the customer.
- Change the stage (confirmed, completed, no-show) to trigger reminders and follow-ups configured under appointment stage automation.
- Create an appointment from the screen or from a contact, choosing service, staff and slot.
Working a lead from the phone
The usual loop away from the desk is: notification for a new lead, open it, read the qualifier answers in the custom fields, tap to call or open the WhatsApp conversation, reply, add a note with what was agreed, and move the stage. Each step is one screen. Stage automation does the rest (a template on "quoted", a sequence on "no answer"), so the phone never has to remember follow-ups.
Front desk from the phone
Reception on the move uses Appointments the same way: see the next bookings, tap a name to message the customer that the doctor is running late, mark a no-show so the rebook message goes out, and create a walk-in booking with service, staff and slot. Reminders are timed on the server, so nothing depends on the phone being awake.
What opens on the web
The Kanban board with drag-and-drop, pipeline and stage editing, lead scoring rules, service catalogue setup and Calendly connection open in the in-app web view when you tap them from More or Settings.
Notes, calls and handovers
Every lead and appointment carries notes that the whole team sees. The habit that makes the mobile CRM work is a one-line note after every call: what was discussed, the next step and when. The call button dials the contact's number with the phone's dialler; when you return to the app, the lead is still open for the note and the stage change. Handing a lead to a colleague is a reassignment from the lead screen; they get a push notification and the linked conversation moves with it.
Lead scoring on the phone
Scores computed by the workspace's scoring rules show on the lead list and card, and the list sorts by score so the best lead is at the top. The score changes as events happen (a reply, a form answer, a stage change), so the order you see in the morning may differ by afternoon; that is the point. Rules themselves are edited on the web under Settings.
Offline behaviour
Lead and appointment lists you opened recently are cached for reading. Stage changes, notes and new records made offline are queued and applied when the connection returns; if a conflict occurs (someone else changed the stage first), the later change wins and the note is kept, which the audit trail records.
Settings and options
| Setting | What it does | Where |
|---|---|---|
| Lead filters | Pipeline, stage, owner, source, score | Leads list |
| Stage change | Runs stage automation | Lead detail |
| Appointment stage | Runs reminders and follow-ups | Appointment detail |
| Create lead or appointment | From lists or contact | Plus button |
Troubleshooting
| Symptom | Likely cause | Fix |
|---|---|---|
| A stage change did not send the template | The window is closed and the stage automation uses a free-form message, or the contact lacks consent | Use a utility template in the stage automation |
| Lead is missing from the list | Filter or pipeline selection | Clear filters; check the pipeline picker |
| Cannot delete a lead | Role lacks delete | Ask an Admin |
| Appointment reminder did not fire | Stage automation not configured or the stage was not changed | Check Settings, Appointment stages on the web |
The leads guide and the appointments guide explain the underlying features.
Everything you do on the phone is mirrored to the web app and to teammates within seconds through the same real-time sync the inbox uses, so a stage change made in a car park shows on the office board before you have started the engine.
