Inviting a teammate to VGraple CRM takes one form: a name, an email and a role. Five built-in roles cover most teams, and a custom role lets you grant access module by module when a built-in role is too broad or too narrow for a specific person.
Invite your team: first 5 of 7 steps
- 1Open Team settings
- 2Click Add Member
- 3Choose a role
- 4Set a temporary password and submit
- 5Share the temporary password
Before you start
- Only a workspace member who can invite others, an Owner or Admin by default, or anyone granted the "Invite new members" permission through a custom role, sees the invite option.
- Check your plan's agent seat limit before inviting: Free includes 1 seat (yourself), Starter 5, Growth 15, and Scale is unlimited. Inviting past your seat limit is blocked until you upgrade.
- Decide the role before you invite. You can change it later, but picking correctly the first time avoids a teammate having the wrong access on day one.
- Have the teammate's real work email ready; a verification link is sent there and they must click it before the account is usable.
Steps
- Open Team settings. Go to Settings, then Team, under the Workspace section. You land on the Members tab, showing everyone currently in the workspace with their role and verification status.

Click Add Member. A dialog opens asking for the teammate's full name, email address, role, and a temporary password (minimum 8 characters).
Choose a role. Pick from the roles your own role can assign: an Owner can assign Admin, Supervisor, Agent or Viewer; an Admin can assign Supervisor, Agent or Viewer. If your workspace has custom roles, they appear in the same dropdown under a Custom Roles group.
Set a temporary password and submit. Enter a temporary password you will share with the teammate, then click Add Member. VGraple CRM creates the account (or attaches an existing VGraple account to your workspace if that email already has one) and sends a verification email.
Share the temporary password. The confirmation message tells you whether a new account was created or an existing user was added. Share the temporary password with your teammate through a channel other than email, since the email itself only carries the verification link, not the password.
Teammate verifies and signs in. Your teammate clicks the link in the verification email, which activates the account, then signs in at crm.vgraple.co.in with their email and the temporary password you shared. They can change their password from their own Settings, then Profile once inside.
(Optional) Build a custom role first. If none of the five built-in roles fit, switch to the Custom Roles tab, click New Role, name it, and set None, View, Edit or Full for each module in the permission matrix. Save it, then select it from the role dropdown when inviting.
What you will see
The new teammate appears in the Members list immediately with an "Unverified" badge until they click their email link. Their assigned role shows next to their name, with an icon and colour matched to that role. The Roles Overview cards above the list show a running count of how many teammates currently hold each built-in role, and the Permissions by Role table below spells out exactly what each role can and cannot do, feature by feature.
Settings and options
| Role | What it can do | Can it access Settings? |
|---|---|---|
| Owner | Full control: org settings, billing, manage every role. Row is fully protected, cannot be edited or removed | Yes, all of it |
| Admin | Invite and manage Supervisors, Agents and Viewers; full feature access | Yes |
| Supervisor | Oversee all conversations, assign agents, view analytics | No |
| Agent | Handle assigned and unassigned conversations | No, and no access to flows or broadcasts |
| Viewer | Read-only access to conversations, contacts and analytics | No, and cannot send messages |
| Custom role | Whatever combination of None, View, Edit or Full you set per module | Only if you grant the org settings permission explicitly |
Troubleshooting
| Symptom | Likely cause | Fix |
|---|---|---|
| Add Member button is missing from Settings, then Team | Your role does not have the "Invite new members" permission | Ask an Owner or Admin to invite the person, or to grant you Admin or a custom role with that permission |
| "Failed to update role" when changing a member's role | You are trying to change a role you are not permitted to assign (for example, an Agent trying to promote someone to Admin) | Only an Owner or Admin can change roles, and only to roles at or below their own level |
| Teammate says the verification email never arrived | Spam filtering, or a typo in the email address entered during invite | Use the resend verification button (the mail icon next to their name) on the Members list |
| New teammate cannot sign in with the temporary password | The password was mistyped when sharing it, or they already changed it and forgot the new one | Use Edit member on their row to set a fresh password, or have them use Forgot password from the login screen |
| Cannot invite past a certain number of teammates | Your plan's agent seat limit has been reached | Upgrade to a plan with more seats, or remove an inactive teammate first |
