Complete Meta Business Verification

How Meta business verification works, what documents it usually asks for, why it affects your WhatsApp messaging tier, and what to do about a rejection.

Meta business verification is Meta's own review of whether the business behind a WhatsApp Business Account is real and matches the details entered in Meta Business Manager. It is not a VGraple CRM process and not required to start sending messages, but it is one of the two recognised paths to a higher messaging tier and it unlocks a handful of Meta-side features later.

The steps on this page, in order.

Before you start

  • A WhatsApp number already connected to VGraple CRM, so there is a Business Manager to verify (see connecting your WhatsApp number). Verification happens on the Business Manager, not on VGraple CRM, so it can also be started before or independently of connecting.
  • Access to the Facebook account that administers the Business Manager Meta created (or you selected) during Embedded Signup. Only a Business Manager admin can submit or manage verification.
  • Your business's legal registration details on hand: the exact legal name, registered address, and whatever government-issued registration or tax document your country requires. Have these ready before starting, since Meta's form does not save a partial submission indefinitely.
  • A business phone number or domain (website or a business email on that domain) Meta can use to confirm the business is reachable, separate from the WhatsApp number itself.

Steps

  1. Open Meta Business Manager's security centre. From business.facebook.com, go to Business Settings, then Security Centre, then Start verification. This screen only appears for a Business Manager that has not yet completed verification.

Meta policy

Meta's verification form asks for your legal business name, registered address, business category, and a phone number or website, then lets you choose a verification method: instant verification against a recognised business registry where available, or document upload where it is not. It also runs a domain-ownership check if you provide a website, which can require adding a DNS TXT record or uploading a small file to that domain.

  1. Enter your business details exactly as they appear on your registration documents. A mismatch between the legal name here and the name on the document you upload later is the single most common cause of a rejection, so copy it exactly, including punctuation and legal suffixes (Pvt Ltd, LLP, and so on).

  2. Choose a verification method. Meta may offer instant verification by checking your business against a government or business registry it already has access to for your country. Where that is not available, it falls back to document upload.

  3. Upload the requested document, or documents. Typical acceptable documents are a certificate of incorporation, a business registration or license, a tax registration document, or a utility bill showing the business address, depending on what Meta's form lists for your country and business type. Upload a clear, unedited, current copy; a cropped, expired, or low-resolution scan is a common rejection reason.

  4. Confirm domain ownership, if asked. If you entered a website, Meta may ask you to add a DNS TXT record through your domain registrar or upload a verification file to the site's root. This step confirms the domain actually belongs to the business being verified, not just that the domain exists.

  5. Submit and wait for Meta's decision. Meta reviews the submission and returns one of three outcomes: verified, rejected with a stated reason, or a request for additional information. There is no VGraple CRM screen for this status; check it from the same Security Centre page in Business Manager.

  6. Fix and resubmit if rejected. Read the specific reason Meta gives (shown on the Security Centre page), correct the mismatch or replace the document, and resubmit. A rejection is not permanent and does not restrict your existing WhatsApp sending in the meantime.

What you will see

Nothing changes inside VGraple CRM automatically the moment verification completes; the effect shows up as your messaging tier badge on the WhatsApp channel card in Settings, then Channels, then WhatsApp moving upward over the following hours as Meta recalculates your limit. In Meta Business Manager itself, the Security Centre page shows a green "Verified" state once approved, replacing the "Start verification" prompt.

How is this different from template approval and the green tick?

Businesses new to the WhatsApp Business Platform routinely conflate three separate Meta processes, and mixing them up leads to the wrong troubleshooting step.

Business verification is a one-time review of the Business Manager itself, the process on this page. Until it completes, the account works normally at a lower messaging tier.

Template approval happens separately, per message template, and is usually resolved in minutes to a day. A rejected template needs edits and a resubmission; it says nothing about your business verification status and does not affect it. See template rejected: reasons and fixes.

The green tick (Official Business Account status) is a distinct, higher bar Meta applies to a small number of well-known brands, and it is not something business verification alone grants, purchasable from any provider, or required to use WhatsApp for business at any scale. Example

A clinic in Ahmedabad connects its WhatsApp number, submits business verification with its Shop and Establishment registration, and gets approved within a day. Its templates are approved separately, on their own schedule, and it never applies for the green tick because its patient volume does not need it: verification alone was enough to move off the entry-level messaging tier.

What documents does India typically need?

Meta's accepted document list is set per country and can change, so always follow what the verification screen itself offers rather than a fixed list here, but Indian businesses most commonly submit one of a Certificate of Incorporation, a GST registration certificate, a Shop and Establishment Act licence, or a Udyam (MSME) registration certificate, together with proof of the registered business address if it is not printed on the same document. A sole proprietorship without a formal registration document sometimes has more difficulty completing verification than an incorporated entity; using whatever government-issued registration exists for the business type, rather than a personal PAN or Aadhaar alone, gives the best chance of a first-pass approval.

Frequently asked questions

Do I have to complete Meta business verification to use VGraple CRM?
No. You can connect a WhatsApp number and send messages with an unverified Meta Business Manager. Verification is what unlocks a higher messaging tier and a few Meta-side features (a custom username, Official Business Account eligibility); it is not a gate on connecting to VGraple CRM at all.
What documents does Meta usually ask for?
Meta asks for proof the business is legally real and matches what is entered in Business Manager, typically a government-issued business registration document and a way to confirm the business address and a phone number or domain associated with it. Exact document types vary by country; Meta's own verification screen lists what it accepts for your country when you start the process.
How long does business verification take?
Meta does not publish a fixed timeline, and it varies by country and document quality; expect it to usually take from a few hours to a few days once submitted, with some cases needing longer if Meta requests more information. VGraple CRM has no way to speed this up.
Why was my verification rejected?
The most common reasons are a business name that does not match exactly across your documents and Business Manager, an address that cannot be confirmed (a PO box, for example), a document that is expired or hard to read, or a website or domain that is not clearly connected to the business. Meta states the specific reason on the verification screen when it rejects a submission.
Does business verification affect my messaging tier?
Yes. An unverified business starts on the lowest tier (currently 250 unique recipients in a rolling 24 hours), and verification is one of the recognised paths to the next tier. The other path is building sending history with high-quality templates over time, without verification at all.
Can I keep using WhatsApp while verification is pending?
Yes. Sending, receiving, templates, broadcasts, the inbox, all of it works normally on an unverified account, within the lower messaging tier. There is no feature in VGraple CRM that is blocked until verification completes.
Who in my organisation can start business verification?
Verification happens inside Meta Business Manager, under whichever Facebook account has admin access to the Business Manager Meta created (or you created) during Embedded Signup. VGraple CRM does not gate this by your workspace role, since the action itself happens entirely on Meta's side.
